Privacy.
In plain English.
What you share with us, why we need it and how to get in touch.
Who we are
Flexible Communication Limited is responsible for the personal information covered by this notice. We are registered in England and Wales, company number 10356030. Our registered office is Hillcrest House, 143 London Road, Stockton Heath, Warrington, WA4 6LG.
For privacy questions or to exercise your rights, email support@flexiblecommunication.co.uk or call 0330 053 5700.
What this notice covers
This notice covers this website and enquiries about our services. Contact us for information about processing involved in running a customer account, delivering telecoms services or managing bills and usage records.
Why we use it
We use your enquiry to understand what you need, respond, discuss suitable services and keep track of the conversation. It does not automatically add you to a marketing list.
For business-contact enquiries, we rely on our legitimate interest in responding to enquiries and developing relevant business relationships. If you are personally entering a contract, we use information needed to take the steps you request before that contract.
If you choose our email updates, we rely on your consent to send advice and offers about phone systems, mobile, broadband and Wi-Fi. You can withdraw consent at any time by contacting us or using the unsubscribe route in a marketing email. Your enquiry and service do not depend on opting in.
We also have a legitimate interest in operating and protecting the website. Where optional technologies require consent, they must wait for that choice.
Where your enquiry goes
We use Wix for website hosting and form submissions. Notifications go to sales@flexiblecommunication.co.uk, our shared mailbox in Microsoft 365, for authorised Flexible staff to handle. The submission and its notification may therefore be held in both systems.
Where information is processed
Wix, Microsoft and their subprocessors may process information outside the UK. Their published data-protection terms describe international-transfer safeguards, including adequacy arrangements or contractual safeguards where applicable. They do not mean that all information stays in the UK.
Read Wix’s data-processing terms and Microsoft’s data-protection addendum. Contact us for details or a copy of the safeguards relevant to your information.
How long we keep it
Our retention policy is to keep active enquiries while there is a relevant ongoing conversation or documented follow-up, such as an agreed renewal date.
The policy sets a review point of 12 months for closed enquiries. Unnecessary details should then be removed unless there is a recorded reason to retain them, such as an unresolved dispute, customer relationship or legal obligation. This is a review point, not an automatic deletion deadline.
The policy also calls for marketing records to be reviewed for a valid basis, accuracy and continuing relevance. It covers Wix records and relevant mailbox copies, and requires a minimal suppression record after an unsubscribe or objection to help prevent accidental re-enrolment.
Your rights
Depending on the circumstances, you can ask to access or correct your information, have it erased, restrict its use or receive a portable copy. These rights have conditions.
You can withdraw consent at any time without affecting earlier lawful processing. Email support@flexiblecommunication.co.uk or call us. We may need enough information to confirm your identity and understand your request.
Your right to object
You can object to our use of your information for direct marketing at any time. We will stop using it for that purpose.
You can also object to processing based on legitimate interests. Tell us about your circumstances so we can consider your request.
Questions or a complaint?
Please contact us so we can try to put things right. You can also raise a concern with the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact us first to exercise that right.
